Iron Mountain is seeking a Content Management Specialist to join our Proposal Management Group. The Proposal Management team supports Iron Mountain’s global sales force with delivery of quality-driven, customer-facing documents that drive revenue for the company. We operate from two central locations, the US and the UK, and will continue to expand our support to Iron Mountain regions across the globe. Proposal Management is part of the Global Business Services group, which works collaboratively with the Global Commercial team to ensure a common approach to the strategic and tailored development of proposal documents. This includes ensuring our process or tools used provide an exceptional sales experience, underpinned by consistent governance and technology strategy.
The Content Management Specialist supports Iron Mountain Proposal and Bid Managers by creating, editing and managing customer-focused content that aligns with company sales goals and strategies. This role must communicate effectively with multiple stakeholders across the organization to obtain current and accurate content on a timely basis. This includes writing, editing, maintaining and tagging content, and managing proposal templates within RFPIO, a content automation tool we leverage to produce high-quality proposals.
You will manage content in RFPIO according to an established refresh schedule, coordinating with subject matter experts (SMEs) to obtain accurate, current information about the company and our products and services. You will conduct training on the use of RFPIO and inform the team of software updates and improvements. You may periodically contribute to other projects that support the Proposal Management team.
The Content Management Specialist is a detail-oriented, self-starter who possesses strong organizational and writing skills. Other responsibilities include:
Dissect RFIs/RFPs and identify frequently asked technical and corporate questions for addition to content database
Write, proofread and edit content to ensure consistent messaging and alignment with product management and sales strategies
Review information provided by SMEs and rewrite it into sales-ready content, ensuing that it is customer-focused and articulates value
Develop, configure and enforce content governance rules through naming conventions, tagging policies and archiving outdated content. Develop new governance guidelines as we expand our platform into other regions across the globe.
Work with SMEs and marketing to obtain compelling graphics that support product and service solutions and grow a library of proposal-ready images
Act as a first line of support for all internal end users to assist in finding content and updating information in real time, as needed.
Additional Responsibilities Include:
Identify and recommend improvements in content organization and governance to improve Proposal Management and Sales efficiency on a global scale.
Develop and maintain a strong understanding of all Iron Mountain products and services and their corresponding value proposition.
Key Skills, Requirements and Competencies:
Bachelor's degree in journalism, marketing, communications or a related field
1-3 years of experience in proposal coordination, marketing or content management
Strong written and verbal communication skills
Excellent organizational and analytical skills
Confidence to navigate a large matrix of products and services and organizational teams
Some graphic design experience desired, including experience with Adobe Illustrator, PhotoShop or InDesign. Ability to work with SMEs and turn written information into compelling graphic content a plus.
Advanced experience with document formatting in various platforms, including Google Docs, Google Sheets, MS Word, MS Excel, MS PowerPoint, Adobe Acrobat
Knowledgeable in Associated Press or Chicago Manual of Style usage
Total travel: Less than 10%
Overnight travel: Less than 10%.
